Who is responsible
Sortaider OÜ is the controller for PLYHOOK customer and enquiry data. Registration number: 14658097. Address: Väike-Männiku 13, 11216 Tallinn, Estonia. For privacy requests, email info@plyhook.com.
What happens while you build an enquiry
Your product choices, selected currency, contact and delivery fields, and any uploaded logo with its preview are stored in this browser tab so that you can move between pages without losing the enquiry. To show prices and transport costs, the page sends your product selection, currency, delivery country and city to our server for calculation. Your contact details, the rest of your delivery details and your logo are sent to us only when you select “Send my enquiry”. The enquiry summary PDF is then created on our server and sent to you with the confirmation email; you can also download it from the confirmation page.
The page does not ask for payment-card details. The current PLYHOOK application loads no third-party analytics scripts or cookies and has no advertising pixel, session recording or automated marketing integration. Optional statistics are limited to the session-storage entry plyhook-traffic-source-v1, used only with your permission (see the next paragraph).
If you allow statistics in Cookie settings, this tab also remembers which website, search engine or AI assistant brought you to the site, and this information is sent with your enquiry so that we know which channels bring enquiries. The legal basis is your consent, which you can withdraw at any time in Cookie settings.
As with other websites, hosting and security providers process connection information, such as an IP address and browser request information, to deliver the pages and protect the service. This technical processing is separate from the enquiry fields held in your browser.
Our web server keeps a log of page requests (IP address, time, requested page, referring page and browser identification) for 30 days. From this log we compile aggregated statistics on how the website is used. They show the pages visited, the country and city estimated from the IP address, the referring website, search engine or AI assistant (for example ChatGPT), the device type, and visits by search engine and AI crawlers. The statistics do not contain IP addresses, and nothing is stored on your device for this purpose.
Information we receive from you
When you send an enquiry or place an order, we receive the information you share: contact name, company, email, telephone, delivery address, country, tax number, selected products, artwork, requested dates and correspondence. Please send only information needed for the enquiry or order.
Purposes and legal bases
We use enquiry and order information to answer you, prepare a quotation, agree artwork, fulfil the contract, arrange delivery and resolve questions or claims. The legal basis is taking steps towards or performing a contract, or our legitimate interest in responding to business contacts and managing the customer relationship, as applicable.
We process invoices and other required records to comply with legal obligations. We use technical connection data for our legitimate interest in operating and securing the service. Optional statistics (the session-storage entry plyhook-traffic-source-v1, which records how you reached the site) are used only with your consent; no third-party analytics or marketing service is active, and an enquiry does not subscribe you to marketing.
We compile these aggregated website statistics for our legitimate interest in understanding and improving how the website is used.
How long information is kept
The enquiry in this browser normally lasts for the tab’s session; browser session-restore features may retain it longer. You can erase it at any time using “Clear my enquiry data” in Cookie settings. Downloaded files remain on your device until you delete them yourself.
Your privacy choice is remembered for up to 180 days and can be reset sooner. Enquiries received through this website or by email that do not lead to an order are kept for six months after our last contact about the enquiry, unless a longer period is needed to handle a related claim. Order and accounting records are retained for the period required by law. After the relevant purpose or retention requirement ends, information is deleted or anonymised.
Web server logs containing IP addresses are deleted after 30 days. The aggregated statistics derived from them do not contain IP addresses.
Your rights
Depending on the legal basis and circumstances, you may request access, correction, deletion, restriction or portability of your data, and object to processing based on legitimate interests. You may withdraw consent for optional processing without affecting earlier lawful processing. Some records must still be retained where the law requires it.
Contact us using the address above. We may need proportionate information to confirm your identity. You may complain to the Estonian Data Protection Inspectorate or your local data protection authority. We do not make decisions about your order solely through automated profiling.
Cookies and updates
Read the Cookie policy for the current storage inventory. to view the categories or clear the enquiry stored on this device. If we introduce a new optional tracking service, we will explain it and request any required consent before it operates.
